Manage your bookings with close outs

You can block bookings with close outs.

Close outs in ResDiary give you full control over when and where reservations can be made. This feature allows you to block availability for specific days, times, services, areas, or even individual tables and time slots. Whether you're managing a private event, adjusting for staff shortages, or simply pacing your service, close outs help ensure your booking flow aligns with your operational needs.

You can use two types of close outs:

  • Manual: Create a close out for a specific date.

  • Periodic: Create a close out to recur during a period of time.

Create your manual close out

Use close outs to block bookings on a specific day by restricting access to selected areas, services, tables, or time slots. Create your manual closeout by watching the video below or follow the steps provided.

Close out areas and services

Follow the steps below to close out areas and services for one date:

  1. Click the calendar date.

  2. Click the Close out icon.

  3. Complete one of the actions below:

    • Close an area ticking the box next to its name.

    • Close a service ticking the box beside its name.

  4. Add a reason on the text field.

  5. Click Save Changes.

Close out an individual table

Follow the steps below to close out an individual table for a day:

  1. Click the calendar date.

  2. Click the Close out icon.

  3. Click Close Individual tables or time slots.

  4. Click the square in relation to the table under the interval of time you want this to begin.

  5. Select one of the following options:

    • Service: Close the till the end of the service.

    • Day: Close the table till the end of the day.

    • Booking duration: Close the table for a standard booking duration.

    • Specific time: Close the table until a specific time of your choice.

  6. Click Create Close Out.

  7. Click the X beside return to the normal diary at the top of your screen to save.

Close out individual time slots

Follow the steps below to close out individual time slots for a day:

  1. Click the calendar date.

  2. Click the Close out icon.

  3. Click Close Individual tables or time slots.

  4. Click the tick box under each time slot you wish to close.

  5. Click the X beside return to the normal diary at the top of your screen to save.

⚠️ Important: Bookings that begin before the closeout can still overlap with the closed time.


Create your recurring close out

A recurring close out is a period of time your diary is closed that reoccurs daily or weekly for a period of time. Create your periodic closeout by watching the video tutorial below or follow the provided steps.

Follow the steps below to create your recurring close out:

  1. Click Settings, then Close-outs.

  2. Click Add New Period.

  3. Complete the following options:

    • Name: Ensure it describe the close out for your staff.

    • Description: This is for internal purposes only.

    • From: Date when your close out begins.

    • Until: Date when your close out ends.

    • Days: Tick the correct days of the week.

    • Type: Use common for both online and internal bookings.

    • Colour: Choose a colour that appears on your grid view.

  4. Add the intervals of time following the options below:

    • From: Interval of time where your closeout starts.

    • Until: Interval of time where your bookings resume.

  5. Select an area from the dropdown menu.

  6. Click Add.

⚠️ Warning: Ensure the close out times matches your interval period set in the services. For example, If your diary is set to 15 minute intervals, the closeout must be added at times such as : 00:00, 00:15, 00:30, 00:45. Alternatively if your diary is set to 30 minute intervals, the close out must be added on the hour or at half past: 00:00, 00:30.
