Manage your group levels

ResDiary provides four default group levels to help you manage user access and responsibilities effectively: Read only, general user, supervisor, and manager. These levels define what each user can see and do within the system. You can fully customise these roles to suit your teamโ€™s structure and operational needs, ensuring the right people have the right access.

๐Ÿค“ Tip: If you make a change to a group level, then the changes will be applied to all the users under that group level automatically.

Edit read only access

Read only users can view the diary without making changes, making them ideal for kitchen staff. You can also use this level for marketing users who need access to customer and campaign data without affecting diary operations. Follow the steps below to view or adjust your read only access:

  1. Click Settings, User Management, then Groups.

  2. Click the Edit icon.

  3. Tick the box for each feature you want to add from the following:

    • Administrator Privileges: Booking management functionalities.

    • Menu Items: Access to specific settings.

  4. Click Save.

โš ๏ธ Important: Some features might be blocked for read only access levels.


Edit general users and hosts

General users can make, edit, and cancel bookings but donโ€™t have access to back office settings. They follow diary rules unless their permissions are customised to allow otherwise. Follow the steps below to view or adjust your general user access:

  1. Click Settings, User Management, then Groups.

  2. Click the Edit icon.

  3. Tick the box for each feature you want to add from the following:

    • Administrator Privileges: Booking management functionalities.

    • Menu Items: Access to specific settings.

  4. Click Save.


Edit your supervisor access

Supervisors can manage bookings, including creating, editing, and cancelling them. They also have advanced privileges, such as the ability to override diary rules on the current day. This makes them suitable for senior staff who need more flexibility and control over daily operations. Follow the steps below to view or adjust your supervisor access:

  1. Click Settings, User Management, then Groups.

  2. Click the Edit icon.

  3. Tick the box for each feature you want to add from the following:

    • Administrator Privileges: Booking management functionalities.

    • Menu Items: Access to specific settings.

  4. Click Save.


Edit your manager access

Managers have full access to the diary, including booking management, settings, and user permissions. This level is ideal for those overseeing operations and needing complete control over all diary functions. Follow the steps below to view or adjust your manager access:

  1. Click Settings, User Management, then Groups.

  2. Click the Edit icon.

  3. Tick the box for each feature you want to add from the following:

    • Administrator Privileges: Booking management functionalities.

    • Menu Items: Access to specific settings.

  4. Click Save.
