ResDiary’s privacy settings let you control how customers opt in to receive marketing communications, ensuring full GDPR compliance. You can set different opt-in methods for internal and online bookings, as well as for the marketing opt-in widget. This guide explains how to update these settings to match your organisation’s preferences and data protection requirements.
Set your opt-in preferences
Follow the steps below to manage your opt-in settings:
Click Promote, then Privacy Settings.
Edit your opt-in settings with one of the two following options:
Single opt-in: Requires the customer to make the choice to be opted-in either online or when booking with you over the phone. In both cases, the options for Email and SMS can be selected as the preferred means of communication. Once the guest themselves checks the opt-in box or the staff member checks the box with the customer's explicit permission then no further action is required to include them in future marketing campaigns.
Double opt-in: An automatic email is delivered to the specified email address to re-confirm their marketing preferences even after they've selected them either online or internally.
Under opt-in levels select one of the two following options:
Individual: Your guest opt-in for your single diary in use.
Group: Your guest opt-in for all your group of diaries and you have the option to update your group name on the text field.
Click Save.
📌 Note: Both single and double opt-in preferences are captured in fully GDPR compliance, the following details are stored against the customer's profile:
Date and time: These reflect when they updated their opt-in.
Venue: Records the specific venue opted-in.
Source: Whether online or internal source.
User: Staff user or guest.
IP address: Where the opt-in was made.
Details: Includes exact text read by the guest when the opt-in was made.
