Manage PMS integrations with ResDiary

Setup, adjust and troubleshoot your PMS integration with ResDiary.

Third-party PMS, Property Management System, integrations connect to ResDiary through a secure API. To establish this connection, the PMS provider requires API access to your diary. These integrations rely on ResDiary’s online availability, meaning any rules or restrictions applied to online bookings will also affect PMS availability searches and bookings. This includes:

Simplify bookings with PMS

PMS integrations are designed to streamline the booking process for hotels. They allow hotel reception staff to reserve tables for guests directly from the PMS system, without needing to log in to ResDiary. Here’s what happens behind the scenes:

  1. API connection: The PMS communicates with ResDiary via API to check availability and create bookings.

  2. Unique channel: Each PMS integration uses a dedicated channel in ResDiary called PMS. ResDiary support sets this up during integration.

  3. Availability search: When reception staff search for tables in the PMS, the system queries ResDiary using the same rules as online bookings.

  4. Booking creation: Confirmed bookings are automatically pushed into ResDiary and tagged with the PMS channel for easy tracking.

  5. Promotions: If promotions should be available via PMS, they must be linked to the PMS channel in ResDiary:

    1. Click Promote, then Promotions.

    2. Click the Edit icon next to your promotion name.

    3. Click Channels.

    4. Enable your provider's PMS channel name.

    5. Click Save.

  • You can control what availability shows on your PMS channels versus your non resident channels by using channel restrictions and promotions.

  • PMS channels are set to ignore all payments.

  • We can suppress confirmation emails to be sent out to your hotel guests, but this isn't possible for reminders, cancellation or post dining emails sent automatically by ResDiary.

  • All PMS integrations support connecting multiple diaries to a single PMS account, except for Rezcontrol, which only allows one diary per account.

  • You can edit and cancel bookings directly from the PMS system, but your edit and cancel booking restrictions found on your online settings apply.


Troubleshoot your PMS issues with ResDiary

If your PMS is showing no availability, displaying different availability than ResDiary, or failing to sync bookings and promotions correctly, this section outlines the most common causes and how to resolve them.

PMS shows no availability

If you encounter an error that shows no availability, try the following solutions:

Availability in ResDiary differs from your PMS

PMS integrations rely on online availability, therefore you most likely have a setting or rule in your diary restricting availability for your PMS channel. Review the following settings to fix the problem:

PMS bookings don't appear in ResDiary

In case you do not see your PMS bookings appearing on your ResDiary system, then most likely an unexpected error has occurred, we suggest you to contact your PMS provider for further investigation.

Promotions don't show on your PMS

If your promotions do not appear on your PMS system, try the following solutions:

  • Check that your validity date and time are correct.

  • Ensure your provider's PMS channel is enabled on your promotion.

Edit and cancel bookings via PMS doesn't show on ResDiary

You can edit and cancel bookings directly from the PMS system, but your edit and cancel booking restrictions found on your online settings apply. In case your issue persists please reach out to your PMS provider's support team.
